Information we collect

We only collect what we need to respond to you, deliver our services and run our business.

Enquiries
When you contact us through a form on this website we collect your name, email address, phone number, company, the service you are interested in, your message, and the page you sent it from.
Rate card requests
When you ask to view our rate card we collect your name, company, business email address and phone number, whether you agreed to receive marketing (with the time and the wording you were shown), and the date your access expires.
Working with us
If you become a client we hold the contact, site, booking, billing and correspondence details needed to plan and deliver the work, invoice it and keep proper records.
Website usage
Our website and the services behind it record technical information such as your IP address, browser and device type, pages visited and how you arrived on the site. See Cookies and similar technologies below.
Aerial imagery
Our drone operations can capture images of people, vehicles and property within or near a site we have been engaged to survey or film. See Drone operations and aerial imagery below.

03

How we use it and our lawful basis

UK data protection law requires us to have a lawful basis for each use of your information. We rely on the following.

Responding to enquiries and rate card requests
To reply to you, prepare quotations and give you access to our rate card. Lawful basis: legitimate interests, and steps taken at your request before entering into a contract.
Delivering our services
To plan, carry out and support the work you have engaged us for, including flight planning, site safety and reporting. Lawful basis: performance of a contract.
Managing our business
To keep records, invoice, handle accounts and meet our legal, tax, insurance and aviation obligations. Lawful basis: legal obligation and legitimate interests.
Improving our website and advertising
To understand how the website is used and measure the performance of our advertising. Lawful basis: legitimate interests, and consent where the law requires it for cookies.
Marketing
To send occasional updates about our services, only where you have opted in. Lawful basis: consent, which you can withdraw at any time.

04

Marketing

We only send marketing emails if you have ticked the marketing box on one of our forms or otherwise asked to hear from us. Every marketing email includes a way to unsubscribe, or you can email hello@airframedrones.co.uk at any time. Withdrawing consent does not affect how we handle your enquiry.

We do not sell your personal information.

05

Who we share it with

We share personal information only where it is needed, and with suppliers who process it on our instructions under contract.

Website and database hosting
Our website, forms, database and staff portal run on the Base44 platform.
Customer relationship management
Enquiries are recorded in Attio, the CRM system we use to manage leads and client relationships.
AI assistance
When an enquiry arrives, an AI service provided through our website platform writes a short summary of it for our team. It is used only to help us respond, not to make decisions about you.
Analytics and advertising
Google provides our website analytics (Google Analytics), tag management and advertising measurement (Google Ads).
Our clients
Imagery and data captured during a job are supplied to the client who commissioned it.
Advisers and authorities
Our accountants, insurers and professional advisers, and the Civil Aviation Authority, police or other authorities where we are legally required to share information.

06

International transfers

Some of our suppliers store or process information outside the UK, including in the United States. Where that happens we rely on the safeguards UK law provides, such as UK adequacy regulations (including the UK–US data bridge for certified organisations) or the International Data Transfer Agreement and Addendum.

07

How long we keep it

Enquiries that do not lead to work
Up to 24 months from your last contact with us.
Rate card requests
Rate card access expires after 30 days. The request record is kept for up to 24 months.
Client and financial records
Six years after the end of the financial year they relate to, as required for tax and legal purposes.
Marketing preferences
Until you unsubscribe. We then keep a record that you opted out so we do not contact you again.
Aerial imagery
As agreed with the client who commissioned the work, and otherwise no longer than needed for that job and any related claims.

08

Keeping it secure

We use appropriate technical and organisational measures to protect your information. Access to enquiries and requests is limited to authorised Airframe staff through an invitation-only portal, and rate card access links are protected so that only a secure fingerprint of each link is stored.

09

Cookies and similar technologies

Cookies and browser storage are small pieces of information saved on your device. This website uses:

Essential
Storage that makes the website work, such as remembering your rate card access for 30 days (airframe_rate_card_token) and keeping staff signed in to the admin portal. These are needed for the site to function.
Analytics
Google Analytics cookies (_ga and _ga_*) that tell us which pages are visited and how people find us. The information is aggregated.
Advertising
Google Ads cookies (such as _gcl_au) that let us measure whether our adverts lead to enquiries.

You can block or delete cookies in your browser settings. Blocking analytics and advertising cookies will not stop the website working. You can also opt out of Google Analytics using Google’s browser add-on at tools.google.com/dlpage/gaoptout.

10

Drone operations and aerial imagery

All our flights are carried out in line with Civil Aviation Authority rules. We plan each operation to minimise the capture of people who are not involved, and we do not use our footage to identify, track or profile individuals.

Imagery belongs to the job it was captured for and is shared with the client who commissioned it. If you believe you appear in footage we have captured and would like it reviewed, blurred or deleted, contact us with the location and date and we will look into it promptly.

11

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information, or restrict how we use it
  • object to our use of your information where we rely on legitimate interests
  • withdraw consent at any time where we rely on consent, including for marketing
  • ask us to transfer information you gave us to another organisation, where this applies

To use any of these rights, email hello@airframedrones.co.uk. We will respond within one month and will not usually charge a fee.

12

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

13

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
